NPC Arts Center — Terms and Conditions of Enrollment
Version 2026-10. These Terms apply to all NPC Kids, NPC Teens and Portfolio programs at every NPC Arts Center campus.
1. Enrollment and Payment
* **Registration confirmation.** A seat is reserved only once NPC Arts Center ("NPC") has received payment in full. Unless NPC has approved a written payment schedule in advance, tuition for the term(s) purchased is due in full at the time of registration.
* **Term-based enrollment.** Classes are sold by term. NPC runs four terms per year (Fall, Winter, Spring and Summer). Exact term dates are set by each campus and published before the term begins. A purchase covers the scheduled classes of the student's class for the term(s) purchased, excluding campus holidays and breaks. Every class is scheduled on the student's behalf at the time of purchase.
* **Classes must be used within the term purchased.** Each class belongs to the term in which it is scheduled. Unused classes do not carry over, roll over or extend into any later term, and may not be transferred to another student, program or campus.
* **VIP Unlimited Membership.** A VIP membership gives unlimited access to the scheduled classes of the student's program during the membership term. It is billed in full in advance. Make-up classes do not apply to VIP memberships because attendance is already unlimited.
2. Attendance and Missed Classes
* **Attendance commitment.** By enrolling, the parent or legal guardian and the student commit to attending every scheduled class in the term. NPC reserves the seat, instructor time and materials for each scheduled class.
* **A missed class is automatically void.** If the student does not attend a scheduled class for any reason — including illness, travel, scheduling conflicts, weather or other personal circumstances — that class is treated as used and is automatically forfeited. It will not be refunded, credited, rescheduled or extended into a later term, other than through the single make-up class described in Section 3.
* **Classes cancelled by NPC.** If NPC cancels a class and does not offer a reasonable substitute class or instructor, NPC will provide a replacement class or a credit for that class. This is separate from, and does not count against, the make-up allowance in Section 3.
3. Make-Up Class Policy — One (1) per Term
* **One make-up class per term.** For each term purchased, the student may take one (1) make-up class to replace one (1) missed class. The make-up class must be taken on a different date within the same term as the missed class, in a class that NPC determines is suitable for the student's age group and level.
* **Subject to available seats.** A make-up class may only be booked into a suitable class that has an open seat at the time of booking. NPC does not hold, add or create seats for make-up classes. If no suitable class with an open seat is available before the term ends, NPC is unable to arrange the make-up, and the missed class remains forfeited with no refund, credit, extension or carry-over.
* **How to book.** Make-up classes must be requested in advance through the NPC student portal or the campus front desk and are confirmed only once NPC approves the request. A confirmed make-up class that is then missed is itself forfeited and cannot be rebooked.
* **No carry-over.** The make-up allowance expires at the end of the term in which it was earned. Unused make-up classes do not roll over to another term, are not transferable and have no cash value.
4. Refund Policy — Non-Refundable
* **All purchases are final.** Term purchases, class packages and memberships are non-refundable once paid, whether or not the student attends any or all of the scheduled classes. Because NPC reserves a specific seat, instructor time and materials at the time of purchase, purchases cannot be refunded, exchanged for cash or credited back, except where a refund or cancellation right is required by applicable law, including the British Columbia Business Practices and Consumer Protection Act.
* **Discretionary credits.** In exceptional circumstances, NPC management may, at its sole discretion, issue a non-transferable credit toward future classes instead of a refund. Credits have no cash value and expire on the date stated when they are issued.
* **Recurring membership billing.** Recurring memberships are charged automatically each billing cycle to the payment method on file. Written notice of at least thirty (30) days before the next billing date is required to pause or cancel a membership. No partial refunds are given for cancellations part-way through a billing cycle. Declined or failed payments must be resolved within seven (7) days, after which NPC may suspend the enrollment.
5. Medical Emergencies and Health
* **Emergency contact.** The parent or legal guardian must provide valid emergency contact information at registration and keep it current. It is the family's sole responsibility to update this information.
* **Emergency response.** In a medical emergency, NPC staff will first attempt to reach the parent, guardian or designated emergency contact. If the situation appears life-threatening or requires immediate professional care, NPC may call 911 or emergency medical services and/or arrange transport to the nearest hospital without further authorization.
* **Costs.** Any cost of emergency medical treatment, including ambulance, hospital and related charges, is the sole responsibility of the student's parent or legal guardian.
* **Illness.** To protect the NPC community, NPC may refuse participation to any student showing symptoms of a contagious illness. A class missed for this reason is treated as a missed class under Sections 2 and 3.
6. Release of Liability
* **General release.** To the fullest extent permitted by law, the parent or legal guardian, on their own behalf and on behalf of the student, releases and agrees to hold harmless NPC Arts Center, its owners, directors, instructors, staff and agents from any claim, damage, loss or liability arising out of or related to participation in NPC classes or presence on NPC premises, except where caused by NPC's gross negligence or wilful misconduct.
* **Supervision.** NPC is responsible for students only during their scheduled class time. Children under 12 should be dropped off no earlier than ten (10) minutes before class and picked up promptly at dismissal. A late pick-up fee of $1 per minute may apply after fifteen (15) minutes. NPC is not responsible for incidents that occur outside class hours or off the premises.
* **Personal property.** NPC is not responsible for the loss, theft or damage of personal items, including art supplies, electronics, clothing or artwork brought to or left at the centre.
* **Conduct.** NPC maintains a safe and inclusive environment and may dismiss any student whose conduct is unsafe, disruptive or disrespectful toward staff or other students. No refund is given for classes remaining after a dismissal.
7. Assumption of Risk
* **Inherent risks.** Participation in arts education involves inherent risks, including the use of sharp tools (scissors, carving tools and similar), exposure to art materials (solvents, glazes, paints and adhesives) and the use of specialised equipment. The parent or legal guardian acknowledges and accepts these risks on behalf of the student.
* **Safety instructions.** Students must follow all safety instructions given by instructors. For students aged 4 to 7, being toilet-trained and able to follow basic safety instructions is a prerequisite for enrollment.
8. Photo and Video Release
* By enrolling, the parent or legal guardian grants NPC permission to photograph, video-record and audio-record the student and the student's artwork during classes, events and activities, and grants NPC a perpetual, royalty-free, worldwide licence to use, reproduce, edit and publish those recordings and artwork for promotional, marketing, educational and administrative purposes, including on social media, websites, printed materials and advertising.
* No compensation is payable for such use. The student's name or other identifying personal information will not be published alongside images without separate written consent.
* To opt out of external promotional use, submit a written request to NPC administration at the time of registration. An opt-out does not restrict incidental photography such as group class photos kept for internal records.
9. Communication Consent
* By registering, the parent or legal guardian consents to receive communications from NPC about classes, schedules, events and promotions by email, phone or text message. Promotional communications may be opted out of at any time; essential class-related notices will continue to be sent.
10. Electronic Signature and Agreement
* **Who is signing.** By checking the agreement box and drawing a signature below, the person signing confirms that they are the parent or legal guardian of the student(s) named in this form (or, if the student is an adult, the student), that they have read and understood these Terms, and that they agree to be bound by them on their own behalf and on behalf of the student.
* **Electronic signature.** The person signing agrees that their drawn electronic signature has the same legal effect as a handwritten signature in accordance with the British Columbia Electronic Transactions Act, and that NPC may keep an electronic record of this form, the signature, and the date and time of signing.
* **Key terms acknowledged.** In particular, the person signing acknowledges the non-refundable nature of all purchases, that classes must be used within the term purchased and do not extend to a later term, that a missed class is automatically void, and that only one (1) make-up class per term is available and only where a suitable class has an open seat.
* **General.** These Terms are governed by the laws of British Columbia and the federal laws of Canada applicable in it. If any part of these Terms is found to be unenforceable, the remaining parts continue in full force. NPC may update these Terms for future terms; the version signed applies to the term(s) purchased under it.
